Job Description
Responsibilities include, but are not limited to, the following(Other duties may be assigned)
Invoice and Batch Processing
Process daily EARS invoices and complete member batches weekly.
Handle daily Supplier EDI batches and non-EARS member invoices.
Review and process new member batches and invoice eligibility.
Conduct weekly batch and invoice date reviews; follow up on missing or delayed submissions.
Data Management and Cross References
Create and maintain member and supplier cross reference files.
Remove inactive items/suppliers and update for corrections as needed.
Upload unmatched Fabulous Focus data weekly.
Perform general cross-reference file maintenance from various inputs (operations, show orders, etc.).
Supplier and Member Support
Set up and maintain supplier and member profiles, including new supplier onboarding and item setup.
Review supplier contracts, scan and archive documentation.
Handle supplier status changes (new, updates, inactive, mergers) and manage related data updates.
Support supplier exception processing and documentation.
Pricing and Program Maintenance
Set up and update pricing programs and upcharge files.
Troubleshoot pricing and accrual issues.
Support MACE updates and maintain related documentation.
EDI and EARS Processing
Post invoices and resolve errors for daily EDI and EARS files.
Maintain supplier/member cross-references and communication for both platforms.
Operational and Project Support
Assist IT and new members with EARS setup.
Back up the Operations Manager and Senior Data Management Specialist.
Participate in special projects across departments.
Support invoice entry and month-end processes as needed.
Item and Database Maintenance
Maintain the Item Database and accrual accounts.
Set up and manage company branded UPCs.
Update member item cross-references for promotions or changes.
Conferences and Promotions
Support setup for supplier show specials.
Coordinate promotional item cross-reference updates.
Interdepartmental Support
Provide cross-functional support and troubleshooting.
Assist with program changes and documentation.
