Position Summary

The Real Estate Legal Support Specialist provides comprehensive administrative and practice support to attorneys in the Real Estate group. This role encompasses a wide range of responsibilities, including document preparation, coordination of attorney workflow, client correspondence, and billing support. The successful candidate will be detail-oriented, highly organized, and able to manage competing priorities in a dynamic, fast-paced legal environment. Strong communication skills, discretion, and a proactive approach are essential. Flexibility to work overtime as needed is required.

Key Responsibilities

Draft, edit, proofread, and format a variety of legal documents, including correspondence, memoranda, closing documents, and client reports.

Assist with the preparation of closing documents, disbursements, title policies, and closing binders.

Support the drafting of legal opinions, internal memos, and client communications.

Coordinate client-specific billing requirements and assist attorneys in meeting client expectations.

Manage and maintain attorney calendars, monitor deadlines, and schedule meetings to ensure efficient practice operation.

Organize and maintain electronic and paper legal files; ensure timely filing and accurate documentation.

Track and coordinate the delivery and execution of legal documents.

Provide overflow support and assist with ad hoc projects across the legal support team.

Collaborate with attorneys, paralegals, and other staff to support transactional workflow and deadlines.

Handle incoming calls professionally and ensure timely message delivery and follow-up.

Open new matters, draft engagement letters, manage travel arrangements, and process reimbursement requests and attorney expenses.

Requirements
Skills & Competencies
  • Proficient in handling administrative tasks, including travel arrangements and processing invoices and expenses.

  • Strong problem-solving abilities with the capacity to prioritize and manage multiple tasks simultaneously.

  • Highly organized and self-motivated, capable of working independently with minimal supervision.

  • Computer proficiency in Microsoft Office Suite, including Word, PowerPoint, Excel, and Outlook.

  • Exceptional attention to detail, time management, and organizational skills.

  • Excellent interpersonal communication skills, both verbal and written.

  • Able to perform effectively under pressure and meet tight deadlines.

  • Experience with real estate transactions and closings.

  • Familiarity with coordinating title matters, lien searches, and electronic recording platforms such as Simplifile.

Education & Prior Experience
  • Bachelor’s Degree or equivalent experience preferred.

  • Minimum of seven years of experience supporting attorneys in a medium to large law firm, preferably within a Real Estate practice.

  • Bilingual fluency in English and Spanish preferred.

  • Prior experience with document management systems such as iManage is a plus.

Technology
  • Proficient in Windows-based software and Microsoft Word, Excel, and Outlook.

  • Experience with iManage and electronic recording platforms such as Simplifile is highly desirable.
