Job Description

Job Summary:

We are seeking a highly organized and experienced Talent Coordinator III to support our recruiting and onboarding efforts. The ideal candidate will have 5–7 years of relevant experience and a deep understanding of administrative operations within Talent Acquisition and Human Resources. This role requires excellent communication skills, attention to detail, and the ability to thrive in a fast-paced environment.

This will be a 6-month assignment based on when the candidate starts on the assignment. There's potential for this role to extend based on performance and budget.

Working Schedule: Hybrid schedule in Milpitas, CA. Mon, Tues, Thurs.

Working Hours: Standard hours; 8-5pm (with a 30- 1 hour unpaid lunch)

Key Responsibilities:

  • Coordinate candidate interview scheduling, including travel arrangements when applicable.
  • Create and manage offer letters through the SmartRecruiters applicant tracking system, ensuring all necessary approvals are obtained.
  • Verify job and candidate details in SmartRecruiters for accuracy and completeness.
  • Initiate pre-hire onboarding processes and assist with new-hire orientation as needed.
  • Enter and audit employee and candidate data across automated HR systems.
  • Maintain organized and confidential personnel files and documentation.
  • Provide accurate and timely information to employees and candidates.
  • Assist with complex administrative processes and process expense reports.
  • Prepare reports and presentations for HR and Talent leadership.
  • Contribute to HR project teams and help develop creative solutions to process challenges.

Required Qualifications:

  • 5–7 years of relevant experience in a Staffing/HR support role.
  • Strong working knowledge of applicant tracking systems (SmartRecruiters preferred).
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook calendaring.
  • Experienced in using intranet/internet tools for business purposes.
  • Excellent written and verbal communication skills.
  • Proven ability to manage multiple priorities with accuracy and efficiency.
  • Strong interpersonal skills and the ability to handle sensitive information with discretion.
  • Ability to read, interpret, and apply HR policies, procedures, and employment regulations.
  • Comfortable working independently and collaboratively in a fast-paced environment.

Preferred Qualifications:

  • Experience preparing HR-related reports and presentations for management.
  • Familiarity with employment laws governing hiring, onboarding, and recordkeeping practices.
